Automator is a software application developed by Apple Inc. for macOS that implements point-and-click (or drag and drop) creation of workflows for automating repetitive tasks into batches for quicker alteration, thus saving time and effort over human intervention to manually change each file separately. Automator allows the repetition of tasks across a wide variety of programs, including Finder, Safari, Calendar, Contacts, and others. It was first released in April 2005 with Mac OS X Tiger (10.4).

Automator provides a graphical user interface for automating tasks without knowledge of programming or scripting languages. Tasks can be recorded as they are performed by the user or constructed from a set of pre-made actions, with each action representing a single task, such as renaming files or resizing images. Users can combine a series of actions into a workflow, which can then be saved, run, or shared. Workflows, Applications, and Services created with Automator can significantly enhance productivity and efficiency.

Automator's interface is divided into four primary areas:

  • Library: Contains a list of all available actions and variables, categorized by application or type of task.
  • Action: Displays the actions that can be dragged into the workflow area to build a workflow.
  • Workflow: The area where actions are placed and arranged to create a sequence of tasks.
  • Description: Provides a detailed description of the selected action or variable.

Automator allows the creation of several types of files, including:

  • Workflows: These are the most basic type of automation, which run within the Automator application.
  • Applications: Standalone applications that can run independently of the Automator.
  • Services: Contextual workflows accessible from the Services menu in applications.
  • Calendar Alarms: Workflows that run at a specified time or calendar event.
  • Folder Actions: Workflows that run automatically when files are added to a folder.
  • Dictation Commands: Custom commands that can be triggered using macOS's dictation feature.

Automator can be used for a wide range of tasks, such as batch renaming files, resizing images, creating PDFs from documents, automating backups, and much more. Its drag-and-drop interface makes it accessible to users without programming skills, while its powerful actions and variables provide depth for more complex automations.

Limitations[edit | edit source]

While Automator is powerful, it has limitations. It is primarily designed for simple to moderately complex tasks. More complex automations may require scripting knowledge or the use of more sophisticated automation tools. Additionally, Automator is only available on macOS, limiting its use to Apple's ecosystem.
